From a short enquiry to a useful company profile
A message often reveals little about the real potential for cooperation. AI research adds context to help prepare a more relevant first response.

What information can AI research?
We define the scope for each hotel and type of sale. The system looks for information that could genuinely influence the offer, rather than creating a general company report.
How many employees does it have, where are its offices and what might its event potential be?
What events has it organised in the past year, how often and for how many attendees?
In which cities and venues have previous meetings taken place?
Does the company have an HR, People, Employer Branding or marketing team, or a dedicated events team?
What might the group’s general profile be, and which attractions or amenities are worth considering?
Could attendees be travelling from other cities, and is it worth suggesting accommodation straight away?
How is the research and recommendation produced?
Lead assessment
AI analyses the message, attachments, sender, domain and type of enquiry.
Company research
It searches approved public sources and, optionally, the hotel’s relationship history.
Profile building
It organises information about the organisation, events, locations and potential needs.
Qualification
It compares the profile with the hotel’s rules and recommends a priority level with supporting reasons.
Facts remain facts. Hypotheses are clearly marked.
A company’s registered office may be a confirmed fact. The expected attendee profile or need for accommodation are only useful hypotheses that should be verified in conversation.
The company has two offices
Warsaw and Wrocław are listed on the organisation’s official website.
Source · date accessed · high confidenceThe group may need accommodation
Attendees may be travelling from both locations, but the prospect has not yet confirmed this.
Reasoning · confidence level · follow-up questionPriority is based on your hotel’s rules
We do not use one scoring system for every property. The hotel specifies which characteristics matter, and AI presents a recommendation together with the specific factors behind it.
Fit
Event type, date, group size and how well the requirements match the property’s capabilities.
Potential
Company size, event frequency, potential value and the opportunity for further collaboration.
Priority
Enquiry urgency, decision date, completeness of the information and the importance of the relationship with the prospect.
One profile for sales staff and future AI modules
Industry, size, locations, organising team and existing relationship.
Types, frequency, previous venues, likely scale and group characteristics.
Hypotheses about accommodation, transport, attractions, additional services and materials.
Priority with reasoning, sources and the confidence level of the information.
AI prepares the research. Sales staff assess its significance.
The module does not automatically change a lead’s status or record hypotheses as facts. The recommendation remains clear, verifiable and based on the sources provided.
You define the preferred segments, event types, expected scale, importance of previous relationships and priority rules.
The research does not contact the prospect, ask about missing details, assign a sales representative, reject an enquiry, prepare a response or update the CRM independently.
Every piece of information should have a source
The module starts with the message, attachments and sender’s domain. It then uses approved public sources. Contact history and CRM can enrich the profile, but are not required to launch the first version.
How do future modules use the profile?
Frequently asked questions
Does AI search the entire internet?
The source scope is agreed with the hotel. The profile shows where each piece of information came from and when it was accessed.
Is the recommendation a numerical score?
It does not have to be. In the chosen variant, AI indicates the priority level and explains the reasoning instead of hiding the decision behind a single number.
How is information about attendees’ ages handled?
Only as a general hypothesis about the group’s profile, based on public signals. It is not the recognition or profiling of specific individuals.
Is a CRM required?
No. CRM and contact history enrich the profile with previous relationships, but the basic research can work from the message, domain and public sources.
Can the module reject a lead?
No. It shows a recommendation and reasoning, but the decision about further handling remains with the sales representative.
