Lead clarification with AI

Gather all the information before you start preparing the offer

AI analyses the entire conversation and attachments, skips information the prospect has already provided and prepares a short message with the outstanding questions. A sales representative reviews it and decides whether to send it.

How it works

One enquiry. Only the questions that are genuinely missing.

The module does not replace a conversation with a form. It reads the message like a sales representative, compares it with the requirements of the specific sales process and fills only the gaps.

AI suggestion

Good morning, Anna. Thank you for your message. To prepare a tailored offer, could you please let us know:

  1. how many rooms you need and for how many nights,
  2. which room layout and equipment would be suitable,
  3. whether the offer should include catering and, if so, to what extent.

If you have a budget in mind, that would also help us select the best option.

The problem

An incomplete lead holds up the entire sales process

An enquiry often contains a good starting point, but not enough information to check availability or prepare a quotation. The sales representative has to reconstruct the list of missing details, avoid repeating questions and manage several rounds of correspondence. Each one delays the offer.

01Gaps identified too late

It is only during the calculation that key details are found to be missing.

02Repeated questions

The prospect is asked again for information already provided in the thread.

03Inconsistent qualification standards

Each employee collects a different set of data and records it differently.

Process

How does AI prepare follow-up questions?

1

Reads the entire thread and attachments

It recognises data from the current message, documents and the prospect’s earlier replies.

2

Compares the data with the hotel’s requirements

It checks what is needed for the type of enquiry, property and sales process.

3

Asks only about missing details

It creates a short, natural message without repeating information the prospect has already provided.

4

Organises the replies

It records new details in a single brief and reassesses whether the lead is complete.

Data scope

What can AI ask about?

The list is not a one-size-fits-all form. We define it separately for different types of enquiry, properties and teams, so that AI collects only the information needed for the next decision.

Event

Exact dates, number of attendees, room layout, AV equipment and catering.

Stay

Number of rooms, accommodation, occupancy breakdown, standard and guests’ additional needs.

Commercial terms

Budget, company details, payment method, decision date and people involved.

Control

AI prepares. The sales representative approves.

The message is not sent automatically. The employee can shorten it, change the questions or skip those that are not needed in the situation. AI does not fill in missing data — it clearly flags uncertainty and asks for a decision.

The hotel sets the rules

You decide which data is mandatory, which questions are optional, the tone of the message and when the module should stop.

Where does this module end?

Lead clarification does not check availability, prepare a calculation or complete offer, or update the CRM independently. It passes an organised brief to separate modules responsible for these actions.

Result

Complete details ready for the next step

Complete brief

The key details are collected and organised in one place.

Fewer email exchanges

The prospect receives one specific set of questions instead of a series of follow-ups.

Ready-to-use context

The data can support availability checks, calculations, CRM and lead allocation.

Data and integrations

The module works wherever enquiries arrive

It requires access to the full email thread, attachments and the hotel’s sales rules. The brief can later be passed to the CRM through a separate module or used in other sales tools. PMS integration is not required for lead clarification.

FAQ

Frequently asked questions

Does AI send questions automatically?

No. The module creates a draft, which the sales representative can edit and approve before sending.

Can AI repeat a question asked earlier?

The system analyses the entire available thread and skips information already provided. If the prospect’s answer is ambiguous, it flags this rather than treating the data as complete.

What if the prospect answers only some of the questions?

The new information is added to the brief, and the module indicates which details are still needed to prepare the offer.

Can the scope of questions vary between properties?

Yes. The rules can be tailored to the property, type of enquiry, customer segment and scope of services.

Does AI analyse attachments?

Yes. The module can read information from supported documents attached to correspondence and take it into account when assessing lead completeness.

Is a PMS or CRM required for implementation?

No. The module can work with correspondence, attachments and hotel knowledge. Saving the brief in the CRM and checking PMS data are handled by separate integrations and modules.
