An important change does not disappear when the call ends
This example shows the module’s role in a hotel process. We define the source scope and available actions for each implementation.
Agreements clarified by phone
The client responds to an offer by phone. They change the number of rooms and ask about earlier access to the room. The emails still show the previous version.
A statement to check, not guess
The call record is added to the index with the date, participants and timestamps. A separate module can prepare a summary or draft confirmation email. The sales representative listens to the uncertain section before changing the offer.
- Source recording
- Text with speakers identified
- Ability to verify the extract
What does this module cover?
The module organises calls made available through the agreed telephony configuration. Recording, transcription and contact matching can take place after the call; a live version requires a separately tested integration.
Text instead of listening to the whole call
Search helps find a date, agreement or topic in a longer conversation.
Linked to the audio
A key figure or name can be checked against the original recording.
Consistent format
Further modules receive the date, call ID and sequence of statements.
How do we launch the solution?
Agree the recording rules
We define the numbers, information given to callers, team access and retention period.
Collect the recording
The integration receives a file or stream provided by the telephony system and creates a transcription.
Quality control
We test difficult names, amounts, background noise and speaker attribution.
What goes into the module and what comes out?
We separate source material from the tool’s output. This helps subsequent modules understand which context they can use.
What does AI use?
- Telephone recordings
- Call IDs and dates
- Approved access rules
What does the team receive?
- Transcriptions with timestamps
- Linked recordings
- Source for summaries and analysis
Permissions and decisions remain with the hotel
Before launch, we agree data access, responsible people and how exceptions will be handled.
The hotel agrees the rules for recording and processing calls with the responsible people. Access to recordings may be narrower than access to summaries; an incorrect transcription requires correction, not automatic confirmation to the client.
This is not a voice bot. The module does not answer calls or conduct conversations. Transcriptions may contain errors, so important commercial terms must be verified before further action.
What changes in day-to-day work?
The next person can see the agreements made by phone, not just the email history.
Analysis and team training can draw on specific situations instead of assumptions.
Which sources and tools do we connect the module to?
We check which recordings and metadata the telephony system provides. Archived recordings can be enabled only within the agreed available scope.

Frequently asked questions
Is the transcription always accurate?
No. Sound quality, proper names and overlapping speech affect the result. The text record should make it possible to return to the recording.
Do we need a voice bot?
Not for indexing recordings alone. A bot is a separate tool needed when AI is expected to conduct the conversation.
