Context and data for hotel AI implementations

Good AI starts with knowledge of your property

We connect information from websites, documents, conversations and hotel systems. We organise it so that AI uses the right source, current agreements and the permitted data scope—instead of guessing an answer.

You do not need to connect everything at the start

We select data for the process you want to improve. Approved knowledge is enough to answer questions about SPA opening hours. Current offers require access to the right system, while continuity in a conversation requires contact history. Each source has a different role.

The right source

The website describes the offer, the PMS knows the stay details and email stores agreements. We do not treat them as interchangeable.

Currency and provenance

We retain context, dates and links so the basis of an answer can be checked.

Agreed access

AI receives the scope needed for the task, not automatically all the hotel’s data.

Choose an implementation element

Email index

We connect selected hotel inboxes to a searchable correspondence index. AI can find previous agreements, conversation participants and the relevant attachment, while an employee can return to the source message. It provides context for other tools—not an automatic sending mechanism.

Call recordings and transcripts

We make recordings and transcriptions of phone conversations available to other AI modules. Instead of relying on memory for an organiser’s needs, a staff member can find a specific statement and return to the relevant point in the conversation.

Document OCR

We turn document scans and photos into text and agreed data fields. AI can find a provision in a set of rules, read a table or use a room specification while maintaining the link to the document’s original page.

Web integration

We make content from selected hotel subpages available to AI, together with their URLs and the date it was accessed. The integration can also embed agreed widgets, such as chat. It provides the foundation for access to knowledge and the web channel—not an automatic website rebuild or an SEO service.

Context interview

We turn conversations with staff into approved operating rules, exceptions and decision criteria. This gives AI insight into the property's real practices, not just what could be found on the website and in documents.

Additional sources index

We connect selected drives, folders and knowledge bases into a searchable context layer. AI can use instructions, policies and internal materials while retaining the source, version and agreed access scope.

CRM integration

We make agreed data about companies, contacts, leads and sales opportunities available to AI tools. We define write access separately, so subsequent modules can support sales staff without accidentally changing records.

PMS integration

We connect agreed AI modules to PMS data about bookings, stays and resource statuses. Reading context and making changes are separate permissions — information about a stay does not automatically mean it can be changed.

Social Media message index

We organise private conversations from business social media channels so that AI and the team can use previous agreements. We retain the thread context, channel and time of contact. This is a source of knowledge for guest service, not a bot that automatically replies to every message.

Social Media comment index

We collect public comments beneath selected hotel posts, together with the post and discussion thread. This enables subsequent tools to distinguish an enquiry about an offer from a complaint, joke or reply to an earlier comment.

Publication index

We create an organised record of posts and available publication results. AI can use previous topics, materials and audience responses, while marketing can plan further activity without manually reviewing every profile.

Review index

We collect available reviews from agreed services, together with their rating, date and source. This allows the team to find specific comments, while subsequent modules can analyse guest experiences and prepare responses in the right context.

Booking engine integration

We connect AI to the booking engine so it can use available stay options and direct guests to the right booking journey. The final price, terms and confirmation remain under the booking system’s control.

From one process to consistent knowledge

1

We choose the task

We establish what the employee or guest needs and where the answers currently reside.

2

We organise the sources

We resolve conflicting versions, exclusions and information owners.

3

We test the context

We check updates, permissions and behaviour when data is missing before connecting a source to an action.

Frequently asked questions

Does every index work like a chatbot straight away?

No. An index organises and provides access to data. AI conversations, analysis and response preparation require the right tool.

Do we need to replace our PMS or CRM?

We do not assume that systems need to be replaced. First, we assess the integration options for your existing tools and the access required for the chosen process.

What if sources contradict each other?

We establish the information owner and the authoritative source. AI should flag an unresolved contradiction rather than choosing the more convenient version itself.
