Late check-out with the right context
This example shows the module’s role in a hotel process. We define the source scope and available actions for each implementation.
Guest’s question in the guest guide
The guest asks to stay in the room until 3 pm. The answer depends on the booking, the property’s policies and the current operational situation.
Data for the process, decision according to policy
The integration reads the agreed stay data. The next module can prepare a suggestion or pass the matter to reception. The date is changed only after the approved conditions have been met and the PMS has confirmed the change.
- Stay identified
- Current PMS status
- Confirmed result of any operation
What does this module cover?
The scope may include bookings, stay dates, assigned rooms, statuses and selected guest data. We agree with the system provider what can be read or written. PMS data is not always the same as the sales offer in the booking engine.
Booking context
The tool can distinguish a question before arrival from a matter concerning someone who has already checked in.
Operational status
Available statuses help route requests and tailor the handling of the stay.
Controlled changes
Every authorised operation has conditions, an identifier and a confirmed result.
How do we launch the solution?
Agreeing access
We select the fields, roles and method for identifying bookings without revealing excessive data.
Read-only testing
We check data freshness, cancelled bookings, room changes and ambiguous cases.
Operation testing
Only then do we enable authorised writing, while monitoring errors and retries.
What goes into the module and what comes out?
We separate source material from the tool’s output. This helps subsequent modules understand which context they can use.
What does AI use?
- PMS access
- Booking and stay identifiers
- Agreed map of fields and operations
What does the team receive?
- Stay context for AI
- Current data within the agreed scope
- Results and history of authorised changes
Permissions and decisions remain with the hotel
Before launch, we agree data access, responsible people and how exceptions will be handled.
The hotel decides which data can be shown to staff and which can be shared through the guest channel. Access to a specific stay requires an appropriate link between the user and the booking, not just the guest’s surname.
The integration does not guarantee that all PMS features will be available. It does not bypass reception decisions, pricing policies or the system’s confirmation of an operation. When fresh data is unavailable, we do not present an assumption as the current status.
What changes in day-to-day work?
Subsequent modules know which stay the matter concerns and what stage it is at.
Staff do not have to transfer basic information between screens every time.
Which sources and tools do we connect the module to?
The PMS is the operational system, while the booking engine is the sales channel. If a process needs both perspectives, we integrate them with clearly defined source priorities.

Its place in the implementation journey
These links come from the roadmap. Requirements form the basis of each node, while enrichments extend its capabilities. This does not mean that all subsequent modules must be launched at once.

Frequently asked questions
Can AI change bookings independently?
Not simply because the PMS is connected. This requires a separate set of operations, approval conditions and an available system function.
Can we start without writing access?
Yes. Reading selected data is often enough for the first staff-support and stay-service scenarios.
